Account balance and billing

This guide explains how to manage your account balance, add funds, and view your transaction history for annotation projects.

 

Accessing the billing service

To access your account balance and billing information:

  1. Locate the menu in the bottom left corner of the platform interface.

  2. Click the link to open the billing service https://console.toloka.ai/

  3. The billing page will open in a new tab, allowing you to manage your account while keeping your project work open.

 

Understanding your balance

On the billing page, you'll see:

  • Current Balance: Your available funds displayed prominently at the top.

  • Account Name: The Team associated with your balance.

  • Top Up Account: A button/link to add funds to your balance.

 

Topping up your balance via stripe

Step 1: Initiate top-up

  1. On the billing page, click "Top up account" (located next to your current balance).

  2. A modal dialog will appear asking you to provide information.

 

Step 2: Select client type & fill out the payment form

Important: You must select the correct client type before filling out the form. The form fields will change based on your selection.

 

  • Individual: Select this if you're topping up as a personal account

  • Legal entity: Select this if you're topping up for a company or organization

 

⚠️ Warning: Make sure to switch to the correct form type (Individual or Legal entity) before proceeding. The form fields differ between these two options, and selecting the wrong type may cause issues with your payment processing.

 

Note: All required fields must be completed to proceed with the top-up.

 

The form data you enter is saved automatically. This means:

  • You only need to fill out the form once (the first time you top up).

  • For subsequent top-ups, your saved information will be pre-filled.

  • You can still edit the information if needed before each payment.

  • This makes future top-ups faster and more convenient.

 

Step 3: Complete payment

  1. Review all entered information for accuracy.

  2. Click "Top up via Stripe" to proceed to payment.

  3. You'll be redirected to Stripe's secure payment page.

  4. Complete the payment using your preferred payment method.

  5. After successful payment, your balance will be updated automatically.

 

Transaction history

The billing page provides several tabs to track your account activity:

Income tab

  • View all incoming payments (top-ups) to your account.

  • See transaction dates and amounts.

  • Track when funds were added to your balance.

 

Spent tab

  • View all expenses from your account.

  • See total costs for each project launch.

  • Track spending by date and project.

  • Monitor how your balance is being used.

 

Filtering transactions

You can filter your transaction history by:

  • Date range: Select a specific period using the date picker (e.g., 01/11/2025 to 29/11/2025).

  • Transaction type: Switch between Income, Spent, and Invoices tabs.

 

Understanding costs

When you view the Spent tab, you'll see:

  • Total costs per launch: The complete cost breakdown for each project launch.

  • This includes:

    • Expert Service payments.

    • Quality Control (LLM QA) costs.

    • Platform fees.

Promocodes


During Registration

  • Enter your promo code in the registration form.

  • You may click Check to validate it, but this step is optional.

  • If you don’t validate the promo code manually, the system will not run a separate validation during registration — the promo code will be applied as is.

  • After completing registration, the promo amount will automatically be added to your company balance.

After Registration

  • In the bottom-left menu, select Apply Promo Code.

  • Enter the promo code. You may validate it using Check, but it's optional.

  • If you don’t validate it manually, the system will not run a separate validation when you click Apply.

  • After pressing Apply, the funds will be added to your balance immediately.

Limits

  • Each promo code can be used only once.

  • You can apply up to three different promo codes at the same time.
